Position Title: Administrative Coordinator                                 Location:  Nehrling Gardens (Gotha, FL)

Position Reports to:  President, Henry Nehrling Society        Position Type: Part-time, hourly               

About us
Nehrling Gardens in Gotha, Florida, was established in 1885 by renowned horticulturalist Dr. Henry Nehrling for exploration of tropical and subtropical plants. The nonprofit Henry Nehrling Society was formed in 1999 to save the historic property and successfully purchased it in 2009. Today, the Society's Board of Directors and volunteers maintain and operate the gardens. Its mission is to preserve Dr. Nehrling’s home and gardens while providing educational programs focused on history, horticulture, environmental stewardship, while also honoring Dr. Nehrling’s contributions to horticulture and ornithology.

Role summary
We’re looking for a self-motivated, detail-oriented multi-manager who can keep daily operations running smoothly while supporting programs, events, volunteers, and community outreach. You’ll be organized, communicative, and comfortable switching between administrative tasks and hands-on coordination.
 
Key responsibilities
  • Run day-to-day office tasks: greet visitors, log guests, manage phone/email, update membership/visitor database (Fundly CRM experience a plus).
  • Communications: draft newsletters, manage social media and website content.
  • Program support: schedule and lead tours, coordinate education groups, workshops, and large signature events.
  • Volunteer management: recruit, schedule, supervise volunteers and interns; coordinate volunteer projects.
  • Board support: prepare reports and liaise with officers as needed.
  • House and site upkeep: monitor supplies, report maintenance needs.
  • Other duties as required to support a small, mission-driven team.
Qualifications
  • Office/customer service and event coordination experience.
  • Strong written and verbal communication skills.
  • Comfortable with social media and basic web content.
  • Proficient with Microsoft Office and Google Workspace; database experience preferred.
  • Able to work a flexible schedule including some nights/weekends.
  • Reliable, organized, proactive, and good with people.
